Vendor Quality Standards

ShoppingSuru aims to provide customers with a reliable marketplace where vendors offer accurate, quality products and fulfil orders responsibly.

Quality Comes First

Vendors are expected to provide products that match their listings, fulfil orders on time, communicate professionally, and cooperate with valid returns, exchanges, refunds, and complaints.

Important: “Verified Vendor” is a marketplace status based on ShoppingSuru's applicable verification process and should not be interpreted as a guarantee that every product from a vendor is free from every possible defect or issue.

1. Purpose of These Standards

These Vendor Quality Standards establish the minimum marketplace standards expected from vendors selling through ShoppingSuru.

They are intended to protect customers, maintain marketplace quality, encourage reliable vendors, and provide a fair framework for addressing repeated poor performance.

2. Basic Vendor Quality Requirements

Every approved vendor must:

  • Provide accurate business and contact information.
  • Sell products they are legally permitted to sell.
  • Provide accurate product information.
  • Maintain reasonably accurate inventory.
  • Fulfil accepted orders correctly.
  • Package products appropriately.
  • Meet applicable processing and dispatch requirements.
  • Cooperate with customer complaints and returns.
  • Protect customer information.
  • Follow the ShoppingSuru Vendor Agreement and marketplace policies.

3. Product Quality Standards

Products listed through ShoppingSuru should reasonably match the information provided on the product listing.

Vendors must ensure, where applicable, that:

  • The product name is accurate.
  • The product photographs reasonably represent the item.
  • Colour information is accurate.
  • Size information is accurate.
  • Measurements are not intentionally misleading.
  • Material/composition information is accurate.
  • The product condition is accurately stated.
  • Brand/authenticity claims are truthful.
  • Available quantity is reasonably accurate.
  • Warranty or guarantee information is accurate where applicable.

4. Authenticity and Counterfeit Products

Vendors must not sell counterfeit, fake, stolen, or falsely represented products through ShoppingSuru.

If a vendor claims that a product is from a particular brand, the vendor must have a legitimate basis for that claim.

ShoppingSuru may request reasonable documentation where an authenticity concern arises.

Serious violation: Counterfeit or deliberately misrepresented products may result in immediate listing removal, vendor suspension, termination, customer refund, recovery of applicable costs, and further lawful action where appropriate.

5. Inventory Accuracy

Vendors should keep stock information reasonably accurate.

A vendor should not knowingly leave an unavailable product active for sale.

Repeated orders being cancelled because products are unavailable may negatively affect the vendor's marketplace performance status.

6. Order Accuracy

Before handing a package to the delivery process, vendors should verify:

  • Correct product.
  • Correct variant.
  • Correct size.
  • Correct colour.
  • Correct quantity.
  • Correct customer/order reference.

An order incorrectly packed by the vendor may be classified as vendor fault and may result in return, replacement, refund, or applicable marketplace cost.

7. Packaging Standards

Vendors must package products appropriately for normal transportation and delivery conditions.

Packaging should reasonably protect the product from avoidable damage, dirt, contamination, or weather exposure during delivery.

Where product damage is caused by inadequate vendor packaging, ShoppingSuru may classify the matter as vendor fault.

8. Delivery and Processing Performance

Vendors should prepare accepted orders within the processing period communicated by ShoppingSuru or applicable to the product.

This is especially important where customers have selected a delivery date and time slot at checkout.

Repeated vendor delays that prevent or materially disrupt scheduled delivery may negatively affect the vendor's quality status.

9. Return and Complaint Performance

ShoppingSuru may monitor vendor-fault returns and customer complaints to identify repeated product or fulfilment issues.

Examples include:

  • Wrong-product complaints.
  • Wrong-size complaints caused by vendor fulfilment.
  • Wrong-colour complaints.
  • Defective-product complaints.
  • Materially inaccurate listing complaints.
  • Counterfeit/authenticity complaints.
  • Repeated packaging-related damage.

10. Vendor Performance Metrics

As the marketplace grows, ShoppingSuru may calculate a vendor's quality/performance using factors such as:

Order Cancellation Rate

How frequently accepted orders are cancelled due to vendor-side reasons.

On-Time Fulfilment

Whether orders are prepared and handed over within the required timeframe.

Vendor-Fault Return Rate

How frequently products are returned due to a vendor error or product issue.

Customer Rating

Genuine customer ratings and reviews may be considered as one performance indicator.

Complaint Rate

Frequency and seriousness of customer complaints relating to the vendor.

Policy Compliance

Compliance with ShoppingSuru rules and applicable marketplace standards.

11. Initial Vendor Status

A vendor that successfully completes ShoppingSuru's required registration and verification process may receive an Approved Vendor status.

Approval means the vendor has been accepted to participate in the marketplace. It is not a guarantee that every product or every future transaction will be problem-free.

12. Verified Vendor Status

ShoppingSuru may introduce a Verified Vendor status for vendors that satisfy the applicable verification and performance requirements.

Verification may consider:

  • Completion of required business verification.
  • Accuracy of vendor information.
  • Quality and accuracy of product listings.
  • Successful order fulfilment history.
  • Customer feedback and ratings.
  • Return and complaint performance.
  • Compliance with ShoppingSuru policies.
Important: Verification status is a marketplace quality indicator. It does not mean ShoppingSuru guarantees every product supplied by the vendor or that no future complaint can occur.

13. Recommended Quality Status System

ShoppingSuru may operate the following internal quality progression:

Approved
Performance Review
Improvement Period
Suspension
Termination

Serious violations may bypass the normal progressive process and result in immediate suspension or termination.

14. Vendor Warning and Improvement Process

Where appropriate, ShoppingSuru may notify a vendor when its performance falls below marketplace expectations.

A warning may include:

  • The performance issue identified.
  • Relevant order or complaint information.
  • Required corrective action.
  • A reasonable improvement period where appropriate.
  • Potential consequences of continued poor performance.

ShoppingSuru may consider the seriousness, frequency, history, customer impact, and vendor response when deciding what action is appropriate.

15. Serious Quality Violations

The following may be treated as serious violations:

  • Counterfeit products.
  • Deliberate product misrepresentation.
  • Fraudulent activity.
  • Repeated fake reviews or rating manipulation.
  • Serious customer-data misuse.
  • Stolen products.
  • Illegal products.
  • Deliberate circumvention of ShoppingSuru.
  • Repeated refusal to comply with valid marketplace obligations.

16. Customer Reviews and Quality Monitoring

ShoppingSuru may consider genuine customer reviews and ratings when evaluating vendor performance.

Vendors must not manipulate reviews or pressure customers into providing misleading ratings.

ShoppingSuru may separately investigate suspicious or apparently fraudulent reviews before using them in vendor-performance decisions.

17. Returns and Quality Issues

A high number of legitimate vendor-fault returns may trigger a quality review.

Where recurring issues are identified, ShoppingSuru may require the vendor to:

  • Correct product descriptions.
  • Replace inaccurate photographs.
  • Correct size information.
  • Improve packaging.
  • Remove defective products from sale.
  • Provide additional product information.
  • Provide reasonable evidence concerning product authenticity.

18. Product Listing Review

ShoppingSuru may review or request changes to product listings before or after publication.

ShoppingSuru may remove or temporarily disable a listing where:

  • The listing appears materially inaccurate.
  • The product appears prohibited.
  • Authenticity is reasonably questioned.
  • Customer complaints indicate a serious quality issue.
  • The listing violates marketplace rules.

19. Vendor Cooperation

Vendors are expected to respond reasonably to ShoppingSuru requests regarding:

  • Customer complaints.
  • Returns and exchanges.
  • Refunds.
  • Product authenticity.
  • Delivery issues.
  • Warranty or guarantee matters.
  • Marketplace compliance.

Failure to cooperate may itself affect the vendor's marketplace status.

20. Vendor Quality Status Can Change

Quality or verification status is not permanent.

ShoppingSuru may change a vendor's status where subsequent performance or compliance no longer meets the applicable criteria.

A vendor may regain an improved status after demonstrating sustained compliance and satisfactory performance, where ShoppingSuru's procedures allow it.

21. No Guaranteed Performance

These standards are designed to encourage consistent marketplace quality. They do not guarantee that every product or transaction will be completely free from defects, delays, complaints, returns, or other issues.

ShoppingSuru will respond to identified issues according to the applicable marketplace policies and applicable law.

22. Vendor Responsibility

The vendor remains responsible for its products, product descriptions, legal compliance, fulfilment, packaging, warranties and other vendor obligations under the ShoppingSuru Vendor Agreement and applicable law.

These Vendor Quality Standards should be read together with:

ShoppingSuru may update these Quality Standards as the marketplace grows, vendor categories change, quality-control procedures improve, or applicable legal requirements change.

The latest version will be published on this page together with the applicable policy version and effective date.

Legal review: This Vendor Quality Standards document is a marketplace operational policy for ShoppingSuru. It should be reviewed together with the Vendor Agreement and applicable Nepalese law before being used as a contractual enforcement framework.
